Automations, or "rules," allow you to automatically reward points and send email notifications to your team for key events, fostering a positive and appreciative work culture. You can set up rules for onboarding, birthdays, and work anniversaries.

  • Efficiency: Save time by automating repetitive reward and notification processes.

  • Positive Culture: Reinforce a culture of appreciation.

How to Activate an Automation (Rule)

🌟 Important Pre-requisite: Ensure that the "start date" and "date of birth" fields are completed in the employee profiles within the "Points" section. If you need to add or edit this information, click here to see how to edit/add this information to existing profiles.

1️⃣ Create Automation

  • Click the "Create Automation" button located at the top of the Automations page.

2️⃣ Configure Rewards

  • Enter the number of points you wish to reward for the selected rule (e.g., birthday, anniversary).

3️⃣ Activate the Rule

  • Slide the toggle switch to "Active" to enable the automation.

4️⃣ Save Changes

  • Click "Save Automation" to save your settings and activate the rule.


Specific Automation Rules

Onboarding πŸš€

  • Reward points or gifts to new employees or new community members when they first join to encourage engagement and foster loyalty

    • Important: Ensure the "Start date" field is populated in user profiles. If this field is missing, the rule will not trigger, and no points will be granted.

Birthday πŸŽ‚

  • Make employees' birthdays special by surprising them with points or gifts

    • Important: Ensure the "Birthday" field is populated in user profiles. If this field is missing, the rule will not trigger, and no points will be granted.

Anniversary πŸ“†

  • Celebrate employees' loyalty and dedication by rewarding them on their work anniversary (Start Date)

    • Important: Ensure the "Start date" field is populated in user profiles. If this field is missing, the rule will not trigger, and no points will be granted.

  • Unified:

    • Offer the same amount of points to all employees on their work anniversary to recognize everyone equally.

  • Differential:

    • Offer varying amounts of points based on employees' seniority and contributions. This allows for personalized rewards and motivates long-term dedication.


Deactivate a Rule (Automation)

1️⃣ Click "Automation" β†’ Edit Automation

2️⃣ Slide the toggle to switch the rule to 'Inactive'.

3️⃣ Click "Save Automation" to save your settings


How to Change Amount of Points Per Rule

1️⃣ Click "Automation" β†’ Edit Automation

2️⃣ Locate the rule you want to modify and edit the number of points/gifts

3️⃣ Click "Save Automation" to save your settings


How to View Projected Spend Per Year

The "Points per year" spending is calculated by multiplying the number of people by the number of points rewarded.

  • Points per year spending = # of people x Points.

  • See the total budget per rule in the "Points per year" column.

  • Note: The "# of people" column for the Onboarding rule is determined by the number you manually enter, not the user list (for internal use).


When Are Emails Triggered?

Emails are triggered twice a day (4PM UTC & 8PM UTC) on your recipient's special day/milestone.

If your recipient is added prior to their hire date/birthday, they will receive an email at 4PM UTC.

If your recipient is added midday on their hire date/birthday, they will receive an email at 8PM UTC.
​
If your recipient is added after 8PM UTC, you will need to manually issue them a gift since emails will no longer trigger for the day.


Important Considerations

  • Rule Deactivation: Rules will stop running when you deactivate them.

  • Tailor point rewards to the significance of the event.

  • Regularly review and update your automations to ensure they remain relevant.

  • Consider adding automations for other milestones or achievements.
