Whether you need to estimate your campaign budget, download an invoice, or forward tax documents to your accounting team, you can manage your finances directly from your dashboard.
(Note: Updated Enterprise Terms of Use and Privacy Notice went into effect June 1, 2024, including adjustments to Snappy’s refund policy for prepaid funds).
Pro Tip: Use the menu panel on the right to jump to a specific section.
How Snappy Budgets and Charges for Gifts
To ensure you never overspend, Snappy uses an estimation model when you send gifts, and reconciles the exact cost when a gift is claimed.
1. When you send gifts (The Estimate)
We estimate the upfront cost based on your selected gift budget, Snappy's service fee, and an estimated 10% sales tax. (Tip: You can use the Budget Calculator hyperlink on your Billing tab to easily forecast these costs!)
2. When a recipient claims a gift (The Actual Cost)
Once a recipient chooses their item, we calculate the final price of that specific item, the applicable tax rate based on their shipping address, and Snappy's service fee (which covers platform usage, personalization, logistics, curation, and support).
3. When you save money!
Any difference between the estimated cost and the actual claimed cost is returned to your account balance on the first business day of each month to use toward future sends.
Pro-Tip: Turn on "Guaranteed Gift" If you want to ensure every recipient gets a gift, turn this feature on. Unclaimed gifts will automatically convert to a Snappy Dining Card of equal value, keeping your budget clear and predictable.
Finding Your Invoices & Gift Reports
To download an invoice:
Navigate to your Billing tab on the left side of your dashboard.
Select the Invoices section.
You can download the PDF (the invoice summary) or the Invoice Detail (a granular breakdown of all gifts claimed the previous month, recipient names, specific taxes, and fees). Note: Detailed breakdowns are only available for "Gift spend" invoice types.
To download a gift activity report: Navigate to the Gift Activity tab on your dashboard and click Email Report.
Managing and Transferring Your Funds
If you have multiple Prepay or Instant Payment billing methods, you can consolidate your unused balances.
How to transfer funds:
Navigate to the Billing tab.
Find the Prepay or Instant Payment balance you want to move and click the 3-dots icon. (Note: The "Transfer Funds" option will only appear on methods with a remaining balance).
Enter the amount to transfer (minimum of $1.00).
Select the destination account and billing method (must also be Instant Payment or Prepay).
Confirm the transaction.
(Need to request a refund for prepaid funds? Please review our full Refund Policy here).
Understanding Taxes and Tax Exemptions
Because Snappy sends physical goods, applicable sales taxes are applied based on the shipping location of the gift once it is claimed. Snappy currently collects and remits sales tax in all applicable US states, Canada, and the UK.
Tax Exemptions: If your organization is tax-exempt, please email a copy of your tax-exempt certificates to billing@snappy.com for approval. Once approved, the exemption will be reflected on your future monthly invoices. (Note: The budget calculator will still assume a 10% tax estimate upfront, but exemptions will be factored into your final monthly invoice).
Income Tax Treatment of Snappy Gifts (For your Accounting Team): Snappy is unauthorized to consult on tax-related questions. The following is simply helpful information based on IRS guidelines (IRS Pub 15-b).
